Discipleship and Evangelism Ministry Administrative Assistant

Salary: $24,000

Hours: 20 Hours A Week

Summary: This position provides administrative support to both the Discipleship Pastor (Living Hope Department) and Outreach Pastor (Sharing Hope Department) and the ministry teams under their direction:

  • Life Groups (small affinity groups)
  • Large Affinity Groups (Men, Women, Single’s)
  • Leadership Pipeline
  • Mentorship Program
  • Growth Track Discipleship assimilation program
  • Next Steps program (New Believers & Baptism)
 

In addition to creating correspondence, filing and scheduling, the Administrative Assistant performs duties such as financial record keeping, coordination of meetings, conferences and obtaining supplies. Independent judgment and critical thinking skills are required to plan, prioritize and organize workload.

Essential Functions:

  • Schedules and organizes meetings, conferences, connection events, and activities associated with all ministries affiliated under Discipleship.
  • Schedules Pastoral Care meetings to include Pre-marriage, Marriage and general spiritual counsel.
  • Drafts and responds to email correspondence on behalf of the Discipleship Pastor as directed. Drafts written correspondences or replies by phone or email when necessary. Responds to all requests for information.
  • Assists Discipleship Pastor in fostering relationships with Discipleship leaders and those in or looking to be a part of the Discipleship ministry.
  • Ensures applicable training and materials for Discipleship leaders are current and ordered.
  • Coordinates with marketing department to ensure that Discipleship opportunities and offerings are kept current on church website and church social media platforms.
  • Ensures updated messaging is available for Discipleship Social Media platforms.
  • Keep minutes of Discipleship meetings as directed by the Discipleship Pastor.
  • Organizes Discipleship Ministry Fairs and other connection events.
  • Prepares, reconciles and distributes weekly attendance for onsite discipleship groups. This includes, recording attendance in church database, prepare new attendance record for distribution Wednesday and Sunday, prepares deposit of offerings received and delivers to Accounting office.
  • Perform other duties as assigned by the Discipleship Pastor.
  • Works independently and as part of the team on special projects/events.
  • Follows up on New Believer Decisions, Growth Track requests, Baptism requests, and Lifegroup requests from congregation members to ensure enrollment in the Discipleship pathway through the church database (Realm).
 

Special Functions:

  • (Bi-lingual) Assists in creating/translating materials and correspondence for the Hispanic Ministry as it relates to Churchwide Discipleship materials (Growth Track, New Believers, Baptism)
  • Assist in program/curriculum development
 

Required Knowledge, Skills, and Abilities:

  • Excellent attention to detail while observing firm deadlines
  • Excellent written and verbal communication skills
  • Comfortable working with technology, MS Office programs and SM platforms
  • Self-starter with minimal guidance

  • Ability to exercise exceptional judgment in dealing with sensitive and personal issues.
  • Maintain healthy working relationships with staff.
 

Desired knowledge, skills, and abilities:

  • Administrative experience in a church environment
  • Bi-Lingual
 

 Education & Experience:

  • High school diploma or GED equivalent (minimum)
  • Post high school, associate’s degree (desired)
 

Reports to:  Pastor of Discipleship / Pastor of Evangelism.
